DESCRIPTION

Amazon is seeking an experienced and highly motivated Administrative Professional with a strong history of high performance to support our Public Policy DACH team, based in Berlin. This role will support the effectiveness and efficiency, both internally and externally, of the Public Policy DACH team, and ensure smart business planning and coordination across the wider business and public policy teams. The role will also work collaboratively with other International Public Policy Executive Assistants to support overall administrative department goals.

This role requires outstanding skills in planning, time-management, and organization, superior attention to detail, an ability to meet tight deadlines and juggle multiple internal and external requests in a calm, friendly and efficient way. The successful candidate will be trusted to handle confidential information, and be able to work professionally with senior business executives, government and public policy stakeholders. The ideal candidate will have experience of working well in a fast-paced, multi-stakeholder corporate or public policy environment.

A good sense of humor is critical, as is the ability to continually prioritize and change direction at a moment’s notice. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, be very strong in anticipating team requirements, and react with appropriate urgency and action to unanticipated developments or situations.

Responsibilities for this position include:

  • Management of expense processing and department budget tracking
  • Contract management and processing support
  • Understanding business priorities and identifying process improvements to create efficiency and scale for the team
  • Management of complex calendaring and scheduling, requiring internal and external coordination
  • Tracking and driving to completion of key deliverables, and follow-up on outstanding items
  • Administrative support for internal and external meetings and events
  • Complete other tasks such as updating organizational charts and completing expense reports


 

BASIC QUALIFICATIONS

  • Minimum of 8 years’ experience providing executive support at a senior level
  • Written and spoken proficiency in English and German
  • Proficiency with Microsoft Office, Outlook, Word, Excel, PowerPoint, SharePoint
  • Budget tracking and expense processing expertise

 

PREFERRED QUALIFICATIONS

  • Bachelor's degree
  • Strong organizational skills
  • Experience managing executives’ calendars
  • Positive and calm when under pressure; proactive and flexible when working in a fast paced environment
  • Strong team player, keeping team members connected on-site and virtually
  • Independant handling of administrative work, while keeping internal stakeholders appropriately informed
  • Confident and thoughtful in applying sound business judgment, identifying gaps and implementing improvements
  • Experience organizing internal and external meetings and events
  • High level of integrity and confidentiality
  • Comfortable working within a global matrix organization, across countries and time zones
  • Experience working with external stakeholders.
